The Sales & Marketing Assistant is primarily responsible for the preparation of proposals, requests for information, presentations and marketing materials which directly support the company's business development efforts.  Maintains and updates the department's intranet page and a database of information, images, and graphics used in the creation of proposals and marketing materials.  The Sales & Marketing Assistant ensures new information is incorporated appropriately into all components of the information infrastructure and meets company style guide standards. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Analyzes RFIs and RFQs to determine specific customer requirements.
  • Creates marketing documents such as proposals, presentations, and sales collateral using appropriate business software, ensuring content is consistent with standard company messaging and style guidelines.
  • Assist with the maintenance and updating of the marketing database of proposal questions and answers.
  • Disseminate database information to Sales/Marketing personnel as requested.
  • Coordinate scheduled internal review of database information by subject matter experts.
  • Assist with print production and distribution as needed.
  • Provide logo files, graphics, and photography support including resizing, electronic filing and the organization of image and graphic files.
  • Respond to requests for marketing collateral and instruct users on how to use the online print-on-demand system.
  • Conduct follow-up with sales leads to determine final status of business development opportunities.
  • Assist with special projects as needed in the Marketing Services Department, such as training manuals, trade show support, direct mail, list management, data collection, and surveys.

EDUCATION and/or EXPERIENCE

Bachelor's degree (BA/BS) in Business Administration, Communications, Public Relations or Journalism or equivalent combination of education and experience.  Experience supporting a sales & marketing team and managing multiple projects.

High proficiency working with Microsoft Office software, including Excel, Access, Word and Outlook.  Proficiency with Adobe Acrobat Professional.  Prior experience with database driven content management applications is highly desirable.  Experience with additional desktop publishing and graphics design packages such as Photoshop or Adobe InDesign is preferred.  Strong skills utilizing web-based tools and search engines.
